Administrative Assistant - Gulf University for Science and Technology

• Experience in Administrative capacity
• Proficient in MS Office Applications such as Word, Excel, PowerPoint, among others.
• Excellent preparing business correspondences.
• Excellent Communication skills ( Arabic, English )
• Assist the Department Head in the coordination, operation and management of all divisional services such as class scheduling, budget preparation, record control and special management services. Determine procedures and flow of work, assignments, coordination, and production.
• Supervise student employees in the Department .
• Operate standard office machines, including personal computer. Make appointments, coordinate meetings, arrange travel and lodging. Organize and maintain faculty, class & student files and general office files. .
• Take minutes at meetings conducted by the Head of Department as required and answer correspondence. Receive and distribute incoming mail.
• Assure necessary confidentiality of information
• Compose routine letters, draft forms, compile factual reports which require exercising individual judgment and originality.
• Work with purchasing unit in the acquisition of textbooks, supplies and equipment.
• Keeping track of faculty course schedule /time tables in order to achieve maximum utilization of time in making appointments and enabling Faculty to remain undisturbed when circumstances require.
• Performs other related duties such as keeping inventory of stationary stock, re-ordering as necessary and supplying faculty upon request.
• Assists new faculty hires by helping them meet their needs upon their arrival to Kuwait.
• Announces faculty member’s absence for class students as requested and conveys all messages to them as directed by faculty members.
