We are actively seeking to hire two Executive Assistants / Secretaries to start asap with our group, supporting the top management in the day to day activities. The Executive Secretary / Assistant is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.
• Filing documents, knowledge in setting up a filing system.
• Organize and maintain appointments.
• Handle daily normal secretarial tasks.
• Answering & screening phone calls.
• Photocopying, mailing, faxing, dealing with correspondence and writing letters.
• Attend meetings, take minutes and distribute them.
• Produce reports, documents and presentations.
• Creating and maintaining office systems to deal efficiently with paper flow.
• Carry out specific projects and research as needed.
• Carry out other reasonable duties as needed.
• Organize and supervise all the administrative activities that facilitate the smooth running of an organization.
• In charge of all of the MD’s and GM’s needs: appointments, meetings, schedule, etc.
• Dealing with post and emails, monitor phone calls and control correspondences.
• Ensure filing systems are maintained and up to date & define procedures for record retention.
• Arranging tickets booking, reservations & travels.
• Responsible for typing all the required forms, letters, correspondence letters both external and internal.
• Transferrable Kuwait residency status is a must.
• At least five years of experience in the same field.
• Excellent computer and MS Office skills (Word, Excel, Power Point, Microsoft Outlook).
• Excellent bilingual- Arabic / English.
• Experience and Knowledge in Finance would be an added advantage.
• Recognized secretarial or business management qualification.
• Presentable.
• Perfect communication & time management skills.Hard worker, accurate and team player.
• Flexible, responsible & able to work with a variety of people.
