The Project
Coordinator will manage all projects tender preparation
activities related mainly to procurement.
Key accountabilities include but are not limited to:
• Be the point of contact for the project.
• Understand client’s requirements and buying specifications.
• Conduct research activities on suppliers/vendor, evaluate their criteria and provide recommendation.
• Coordinate the preparation of quotations / proposals.
• Coordinate all administrative tasks related to procurement activities.
• Establish and maintain database for potential suppliers/vendors.
• Ensure compliance to technical and purchase orders requirements as set by the client.
• Coordinate the closing of purchase orders.
• Develop and build relationships with suppliers/vendors on behalf of the company.
• Coordinate delivery of the equipment/material by the suppliers/vendors and make sure it is carried out to deadlines as set in the project deliverables.
• Prepare and compile documentation for pre-qualification with clients, complete registration applications for vendors and/or clients.
• May assist in the compilation of the tender documentation and anyadministrative work related to tender preparation.
• Proactively coordinate all aspects of the project, determine new ways of project development and to keep the Management well informed of any updates.
• Actively manage the activation of ongoing contracts with contractors and consultants to ensure all services are provided as agreed within contracts.
• Take ownership of project schedule and documentation (Hard and Soft). Prepare and maintain professional monthly progress reports.
• Coordinate meetings and workshops. Prepare and/or edit meeting minutes, presentations and tables.
• Contributing to meeting and workshop design.
• Proactively engage with all internal departments to ensure all project requirements are delivered and fulfilled
