Required Programme Assistant – Democratic Governance - UNDP

UNDP Kuwait is comprised of four key thematic areas: Democratic Governance, Environmental Sustainability, Social Development, and Economic Development.   The Programme Assistant will be supporting the Democratic Governance programme which works on addressing high-level government priorities linked to development planning and good governance.

Under the direct supervision of the Democratic Governance Programme Analyst, the Programme Assistant provides programme support services ensuring high quality, accuracy and consistency of work.  The Programme Assistant works in close collaboration with the operations, programme and project staff in the CO and UNDP HQ as required to exchange information and support programme delivery.

Education:
    Secondary Education preferably with specialized certification in Accounting and Finance. University Degree, preferably in Business or Public Administration, Finance, Accounting, Economics, Political Sciences or Social Sciences is desired.

Experience:
    Preferably 2 years of relevant administrative or programme experience at the national or international level. Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems.

The Democratic Governance Programme Assistant will provide effective administrative support to the Democratic Governance programme area in UNDP Kuwait focusing on the following:

Administrative support:
    Provide support to consultants as concerns communication, contracts, agenda, visas, hotel reservations, etc.;
    Maintain records on all project personnel/national consultants and their respective status (contracts, ToRs, time and attendance – if appropriate, etc.) in accordance with accepted policies and procedures;
    Assume overall responsibility for administrative matters of a more general nature, such as registry and maintenance of project files and records;
    Assist in organizing Project Board and other meetings.
    Assisting in the recruitment process for consultants.
    Contributions to knowledge networks and communities of practice.
    Undertaking other related tasks as instructed by the supervisor

Financial support:
    Prepare requests for direct payments;
    Preparation of non-PO vouchers for development projects.
    Creation of requisitions in Atlas for development projects, register of goods receipt in Atlas.
